Round Robin or Least Lead Count? A Dealer’s Guide to Lead Assignment

A new enquiry needs a responsible person. Compare round robin and least lead count, choose eligible team roles and understand how manual assignment takes priority in Bhuvix.in.

Round Robin or Least Lead Count? A Dealer’s Guide to Lead Assignment

An enquiry arrives while two agents are at visits and another teammate is handling calls. Who should take responsibility? If the answer changes according to who notices the notification first, it is hard to tell whether allocation is consistent.

Round robin assigns work in turn; least lead count assigns it according to the supported count of existing assigned work. The useful choice depends on your team and on what the software actually counts. Neither method measures an agent’s skill or the quality of a particular customer relationship.

Bhuvix.in provides automatic assignment settings from Team when access is eligible. The owner selects the strategy and participating roles. The feature is relevant to businesses with more than one eligible active teammate.

Start by choosing who can receive assignments

Decide which team roles should participate. Your business may want agents to handle new enquiries, or it may include a CRM executive, dealer admin or owner in the allocation.

Active membership matters. A pending invitation should not be treated as an available teammate simply because a name has been added to the team list. Plan access and team-member allowance still apply.

When round robin is useful

Round robin takes turns among eligible members. It can be a straightforward starting point when the team handles similar work and you want a consistent allocation sequence.

It does not mean that every person will have the same current workload. One customer may need several visits while another enquiry ends quickly. Equal turns are not the same as equal effort.

What least lead count means in Bhuvix.in

The least-lead-count strategy considers distinct assigned customers, including customers represented by enquiry assignments. It should not be read as a count of every message or every duplicate delivery.

That distinction matters when one customer has more than one enquiry. A method that counts raw messages could make a teammate appear busier merely because the same customer has contacted the office several times.

Use the supported count as an allocation rule, not as a complete description of workload. Customer complexity, pending visits and working arrangements still need judgement.

Keep the option to assign manually

Sometimes an explicit choice is the right one. A customer may already know an agent, or a particular teammate may have the necessary context for the enquiry.

When a supported creation form has an explicitly selected assignee, that manual selection takes priority over automatic assignment. An authorised reassignment can also change responsibility afterwards.

Tell the team when responsibility changes. The record should be clear enough that two people do not both assume the other is following up.

Apply the process consistently to new customers

Automatic allocation can apply to customer creation, supported customer imports and eligible configured webhook lead capture when an explicit assignee has not already been chosen.

Webhook access is a separate feature and needs a configured endpoint and credentials. Enabling an assignment rule alone does not connect a property portal or cause it to send leads.

Review the rule after real use

Check whether the intended people are receiving assignments and whether customers have clear next actions. Ask teammates where manual exceptions are necessary.

Do not choose a strategy based only on a desire to make a dashboard look equal. The goal is clear responsibility and timely attention to customers.

It helps to write down a simple process: who participates, who may reassign a customer and how the next follow-up is recorded. A short, understood policy is more useful than a configuration nobody remembers.

Common questions

Does round robin assign the same number of messages to each person?

No. It takes turns assigning supported new records. Different customers can create different amounts of work afterwards.

Does least lead count measure which agent performs best?

No. It is an allocation rule based on the supported assigned-customer count, not a performance or quality score.

Can I choose the assignee myself?

A supported explicit assignment takes priority over the automatic rule. Manual reassignment remains subject to role and feature permissions.

Does a team invitation make someone eligible immediately?

No. Eligibility depends on active membership and the selected participating roles, along with the applicable access policy.
